Ltd. and IMPACTLAKE Co. Ltd. (each and collectively, \u201cIMPACTLAKE,\u201d \u201cwe,\u201d \u201cus,\u201d or \u201cour\u201d) comply with the Act on the Protection of Personal Information of Japan, the Personal Data Protection Act of Singapore, and other applicable laws, guidelines, and contractual obligations, and appropriately manage the personal data and other information that we obtain or process.<\/p>\n\n\n\n<p>This Privacy Policy is the common data protection policy adopted by both entities. The adoption of a common policy does not mean that the two entities jointly own or jointly use all personal data, or that either entity has unrestricted access to personal data held by the other. Each entity is responsible for the personal data that it obtains or processes in connection with its own activities.<\/p>\n\n\n\n<p>This Privacy Policy applies to our websites, services, products, platforms, enquiries, sales activities, contract and billing administration, support, and internal administrative activities.<\/p>\n\n\n\n<p>Separate terms of service, privacy supplements, data processing agreements, API terms, acceptable use policies, research and benchmarking addenda, individual agreements, or other service-specific terms (collectively, \u201cService-Specific Terms\u201d) may apply to impactlake Platform or another particular service. This Privacy Policy supplements the Service-Specific Terms. To the extent of any inconsistency, the Service-Specific Terms prevail, unless prohibited by applicable law.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">1. Ltd.<\/strong><br>Address: GM Building 5F, 6-11-16 Sotokanda, Chiyoda-ku, Tokyo, Japan<br>Representative Director: Reona Sekino<\/p>\n\n\n\n<p>Each entity is responsible, in accordance with the laws applicable to it, for the personal data that it obtains or processes in connection with its own activities.<\/p>\n\n\n\n<p>The role of each entity in relation to a particular service, contract, or activity is determined by the applicable Service-Specific Terms, individual agreement, and Section 9 of this Privacy Policy.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">2. Information We Obtain or Process<\/h2>\n\n\n\n<p>Depending on the activities carried out by each entity, we may obtain or process the following information:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Name, company name, department, title, email address, telephone number, and other contact details<\/li>\n\n\n\n<li>Account IDs, email addresses, authentication information, identifiers issued by external authentication providers, multi-factor authentication information, and other account administration information<\/li>\n\n\n\n<li>Information contained in enquiries, chats, sales discussions, contracts, and support communications<\/li>\n\n\n\n<li>Information relating to contracts, quotations, purchase orders, billing, payments, and billing contacts<\/li>\n\n\n\n<li>Service usage history, activity logs, access logs, device information, cookies, IP addresses, and other technical information<\/li>\n\n\n\n<li>Records of consent or choices relating to cookies and similar technologies<\/li>\n\n\n\n<li>Personal data incidentally included in materials provided by customers or business partners in the course of business<\/li>\n\n\n\n<li>Impact assessments, logic models, KPIs, reports, analytical results, and other information generated in connection with the provision of our services<\/li>\n\n\n\n<li>Human resources, labour, payroll, tax, social insurance, account administration, and training information relating to our officers and personnel<\/li>\n\n\n\n<li>Japanese Individual Numbers processed by IMPACTLAKE Co. Ltd. for statutory tax and social insurance procedures<\/li>\n\n\n\n<li>Audio, video, chat, and transcription data obtained with the permission of participants in interviews or other meetings<\/li>\n\n\n\n<li>Information obtained or generated from public sources, including corporate information, integrated reports, securities reports, official websites, and other publicly available information<\/li>\n\n\n\n<li>Other information required to provide our services or conduct our business<\/li>\n<\/ul>\n\n\n\n<p>Unless required by law or necessary for our business, we do not seek to obtain special category data, sensitive personal data, information relating to children, Japanese Individual Numbers, or other information requiring particular care.<\/p>\n\n\n\n<p>Unless expressly permitted by us or the relevant service operator, users and customers must not input special category data, Japanese Individual Numbers, passwords, API keys, authentication credentials, or other confidential information into data submitted for analysis through our services or to an AI or API service.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">3. Purposes of Processing<\/h2>\n\n\n\n<p>We process personal data obtained or handled by each entity for the following purposes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Providing, operating, maintaining, and improving our services, products, platforms, APIs, and related functions<\/li>\n\n\n\n<li>User registration, identity verification, and account and access-right administration<\/li>\n\n\n\n<li>Responding to enquiries, chats, requests for information, consultations, support requests, and incidents<\/li>\n\n\n\n<li>Managing sales discussions, contracts, quotations, purchase orders, invoices, payments, and transactions<\/li>\n\n\n\n<li>Communicating with customers and business partners and providing proposals, implementation support, and customer support<\/li>\n\n\n\n<li>Performing impact assessments, analysis, advisory services, report preparation, logic model and KPI design, and other contracted services<\/li>\n\n\n\n<li>Maintaining security, preventing misuse, managing logs, conducting audits, and responding to incidents<\/li>\n\n\n\n<li>Analysing the use of our websites and services and improving quality<\/li>\n\n\n\n<li>Creating statistics, aggregated information, analytical results, and benchmarking information that do not identify an individual or a particular customer<\/li>\n\n\n\n<li>Using AI and API services for analysis, assessment, summarisation, report preparation, and operational efficiency<\/li>\n\n\n\n<li>Managing human resources, labour, payroll, tax, social insurance, internal communications, training, and accounts relating to our officers and personnel<\/li>\n\n\n\n<li>Carrying out tax, social insurance, and other procedures for which IMPACTLAKE Co. Ltd. is legally permitted to use Japanese Individual Numbers<\/li>\n\n\n\n<li>Creating recordings, videos, minutes, and transcripts of interviews or meetings with the participants\u2019 permission<\/li>\n\n\n\n<li>Complying with laws, contracts, and terms of service and protecting our rights<\/li>\n\n\n\n<li>Activities incidental or reasonably related to the purposes above<\/li>\n<\/ul>\n\n\n\n<p>Except where the individual has consented or processing is otherwise permitted by law, we do not process personal data beyond the extent necessary to achieve the stated purposes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">4. Relationship with impactlake Platform and Other Services<\/h2>\n\n\n\n<p>impactlake Platform is generally provided and operated by IMPACTLAKE Pte. Ltd.<\/p>\n\n\n\n<p>For customers in Japan, IMPACTLAKE Co. Ltd. may, based on an individual agreement, application form, order form, quotation, invoice, other agreement, or the actual allocation of responsibilities, handle contracts, billing, receipt of payments, implementation support, enquiries, customer communications, or customer support.<\/p>\n\n\n\n<p>Each entity processes information obtained directly for the activities for which it is responsible, or information necessary to carry out those activities, in accordance with this Privacy Policy, the Service-Specific Terms, individual agreements, and applicable law.<\/p>\n\n\n\n<p>Use of the Platform, account administration, usage logs, user content, data processing, subprocessors, international transfers, deletion and return of information, audits, and other Platform-specific matters are governed by the Platform terms of service and related policies.<\/p>\n\n\n\n<p>The Platform processes account and technical information necessary for user registration, identity verification, contracts and billing, responding to enquiries, maintaining security, and operating the service.<\/p>\n\n\n\n<p>Unless expressly permitted by us or the Platform operator, users and customers must not include personal data in information submitted to the Platform for analysis, assessment, or administration.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">5. Use of AI and API Services<\/h2>\n\n\n\n<p>We may use external AI and API services to provide our services, conduct analysis and assessments, prepare summaries and reports, and improve operational efficiency.<\/p>\n\n\n\n<p>When using an AI or API service, we review the contractual or legal basis for its use, whether submitted information is used to train models, prohibited inputs, retention periods, logging, access controls, allocation of responsibility, and other relevant matters, and implement appropriate security measures.<\/p>\n\n\n\n<p>As a general rule, we do not submit special category data, Japanese Individual Numbers, non-anonymised sensitive information, passwords, API keys, authentication credentials, information that a customer has prohibited us from submitting, or other information that we consider inappropriate to an AI or API service.<\/p>\n\n\n\n<p>Where it is necessary to process personal data for business purposes, we verify in advance the individual\u2019s consent or other contractual or legal basis, whether the provider uses the information for training, applicable retention periods, and relevant security measures.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">6. Anonymised Information, Statistics, and Analytical Results<\/h2>\n\n\n\n<p>We may use or retain statistics, aggregated values, analytical results, benchmarking information, and similar information that has been processed so that an individual or particular customer cannot be identified, for purposes including service improvement, research, analysis, quality improvement, and benchmarking.<\/p>\n\n\n\n<p>When processing such information, we consider the risk of re-identification, the risk that an individual or customer could be inferred from a small number of data subjects, contractual restrictions, and applicable legal obligations.<\/p>\n\n\n\n<p>If a particular individual or customer may be identified or inferred, we manage the information in a manner equivalent to personal data or the customer\u2019s confidential information.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">7. Disclosure to Third Parties<\/h2>\n\n\n\n<p>We do not disclose personal data to a third party without the individual\u2019s consent, except:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Where required or permitted by law<\/li>\n\n\n\n<li>Where necessary to protect the life, health, or property of a person and obtaining consent is difficult<\/li>\n\n\n\n<li>Where particularly necessary to improve public health or promote the sound development of children and obtaining consent is difficult<\/li>\n\n\n\n<li>Where cooperation with a national or local government authority in performing statutory duties is required and obtaining consent may interfere with those duties<\/li>\n\n\n\n<li>Where processing is entrusted to a service provider to the extent necessary to achieve the relevant purpose<\/li>\n\n\n\n<li>In connection with a merger, company split, transfer of business, or other business succession<\/li>\n\n\n\n<li>Where legally required information concerning joint use has been provided to the individual or made publicly available in advance<\/li>\n\n\n\n<li>In other circumstances permitted by applicable law<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">8. Service Providers<\/h2>\n\n\n\n<p>We may engage external service providers, to the extent necessary to achieve the relevant purposes, for activities including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Cloud services and hosting<\/li>\n\n\n\n<li>Authentication, email, chat, and customer relationship management<\/li>\n\n\n\n<li>Payments, billing, accounting, and tax<\/li>\n\n\n\n<li>Website operation and analytics<\/li>\n\n\n\n<li>Online meetings and transcription<\/li>\n\n\n\n<li>AI and API services<\/li>\n\n\n\n<li>System development, maintenance, operation, and security management<\/li>\n\n\n\n<li>Legal, labour, and social insurance services<\/li>\n\n\n\n<li>Other services necessary for our business operations<\/li>\n<\/ul>\n\n\n\n<p>We select service providers in light of the nature of the services and information concerned and exercise necessary and appropriate supervision, including by reviewing contractual terms, confidentiality, security measures, access scope, subcontracting, incident reporting, and return or deletion of information upon termination.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">9. Roles of the Two Entities and Processing Between Them<\/h2>\n\n\n\n<p>IMPACTLAKE Pte. Ltd. and IMPACTLAKE Co. Ltd. adopt this Privacy Policy as a common policy. However, each entity remains independently responsible for the personal data that it obtains or processes in connection with its own activities.<\/p>\n\n\n\n<p>Personal data is not automatically shared, jointly used, or made mutually accessible merely because the entities are affiliated. At present, the two entities do not carry out continuous and comprehensive joint use of personal data solely on the basis of their corporate affiliation.<\/p>\n\n\n\n<p>IMPACTLAKE Pte. Ltd. generally provides and operates impactlake Platform and is responsible for account administration, security management, and other Platform-specific activities.<\/p>\n\n\n\n<p>IMPACTLAKE Co. Ltd. generally conducts sales, contracting, billing, implementation support, consulting, enquiry handling, and other activities of the Japanese entity in Japan.<\/p>\n\n\n\n<p>Where one entity needs to process personal data held by the other for a particular activity, including service provision, contracting, billing, implementation support, enquiry handling, incident response, or security response, the entities review the purpose, data concerned, their respective roles, access scope, and applicable laws, and limit the processing to what is necessary.<\/p>\n\n\n\n<p>Depending on the relevant activity and information flow, the legal relationship may be structured as outsourced processing, processing on behalf of another party, disclosure to a third party, joint use, or another arrangement permitted by applicable law.<\/p>\n\n\n\n<p>If the entities jointly use personal data, they will notify the individual or publicly disclose in advance the categories of information jointly used, the scope of joint users, the purposes of joint use, the entity responsible for management, and other information required by law.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">10. Processing Outside the Relevant Country and International Transfers<\/h2>\n\n\n\n<p>We may use cloud services, SaaS, AI and API services, subprocessors, and other external services located outside the country in which personal data was collected. As a result, personal data may be stored or processed in other countries.<\/p>\n\n\n\n<p>Where IMPACTLAKE Co. Ltd. provides personal data to IMPACTLAKE Pte. Ltd., makes it accessible to IMPACTLAKE Pte. Ltd., or otherwise transfers personal data to a third party in another country, we provide required information, obtain consent where required, implement contractual safeguards, and take other measures in accordance with applicable law.<\/p>\n\n\n\n<p>We review the legal framework of the relevant country or region, the safeguards implemented by the service provider, contractual terms, and access controls, and implement necessary and appropriate security measures.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">11. Cookies, Analytics, and External Transmissions<\/h2>\n\n\n\n<p>We may use cookies, local storage, session storage, and similar technologies (collectively, \u201cCookies\u201d), as well as logs and telemetry, on our websites and services.<\/p>\n\n\n\n<p>Some Cookies are necessary to provide the service, while others are used for analytics, quality improvement, or additional functionality.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">11.1 Essential Cookies<\/h3>\n\n\n\n<p>We use essential Cookies for identity verification, maintaining login status and sessions, security, preventing misuse, maintaining communications, storing users\u2019 Cookie choices, and other purposes necessary to provide our services.<\/p>\n\n\n\n<p>Disabling these technologies may prevent login, security features, or all or part of the service from operating properly.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">11.2 Google Analytics<\/h3>\n\n\n\n<p>We use Google Analytics, provided by Google LLC, to measure and analyse the use of our websites and services and to improve their quality.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Recipient: Google LLC<\/li>\n\n\n\n<li>Countries or regions of processing: the United States and other countries or regions in which Google LLC processes information<\/li>\n\n\n\n<li>Information transmitted: Cookie identifiers, IP address, pages viewed, referring source, interaction information, and device and browser information<\/li>\n\n\n\n<li>Purposes: measuring and analysing the use of our websites and services, identifying operational issues, and improving quality<\/li>\n<\/ul>\n\n\n\n<p>We do not use Google Signals, remarketing, or other functionality that links Cookie information to an individual for advertising purposes.<\/p>\n\n\n\n<p>Google Privacy Policy:<br><a href=\"https:\/\/policies.google.com\/privacy\" target=\"_blank\" rel=\"noreferrer noopener\">https:\/\/policies.google.com\/privacy<\/a><\/p>\n\n\n\n<p>Google Analytics Opt-out Browser Add-on:<br><a href=\"https:\/\/tools.google.com\/dlpage\/gaoptout\" target=\"_blank\" rel=\"noreferrer noopener\">https:\/\/tools.google.com\/dlpage\/gaoptout<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">11.3 Google Tag Manager and Google Fonts<\/h3>\n\n\n\n<p>We may use Google Tag Manager to manage tags used on our websites and Google Fonts to display fonts appropriately.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Recipient: Google LLC<\/li>\n\n\n\n<li>Countries or regions of processing: the United States and other countries or regions in which Google LLC processes information<\/li>\n\n\n\n<li>Information transmitted: IP address, page or requesting URL, referring source, device and browser information, access time, and other technical information associated with the communication<\/li>\n\n\n\n<li>Purposes: tag management, webpage display, font delivery, performance, and security<\/li>\n<\/ul>\n\n\n\n<p>Google Tag Manager is used to load tags for other services configured by us. Please refer to the relevant service descriptions in this Section for information about processing performed through each tag.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">11.4 HubSpot<\/h3>\n\n\n\n<p>We use HubSpot, provided by HubSpot, Inc., to respond to enquiries, provide chat functionality, manage customer communication history, and analyse access to our websites and services.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Recipient: HubSpot, Inc.<\/li>\n\n\n\n<li>Countries or regions of processing: the United States and other countries or regions in which HubSpot, Inc. processes information<\/li>\n\n\n\n<li>Information transmitted: Cookie identifiers, IP address, page-view and interaction information, device and browser information, and information that a user enters into a chat<\/li>\n\n\n\n<li>Purposes: responding to enquiries and chats, managing communication history, quality assurance, customer management, and measuring and analysing access<\/li>\n<\/ul>\n\n\n\n<p>HubSpot Privacy Policy:<br><a href=\"https:\/\/legal.hubspot.com\/privacy-policy\" target=\"_blank\" rel=\"noreferrer noopener\">https:\/\/legal.hubspot.com\/privacy-policy<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">11.5 Firebase Authentication<\/h3>\n\n\n\n<p>We may use Firebase Authentication, provided by Google LLC, to verify service users\u2019 identities and provide account login functionality.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Recipient: Google LLC<\/li>\n\n\n\n<li>Countries or regions of processing: the United States and other countries or regions in which Google LLC processes information<\/li>\n\n\n\n<li>Information transmitted: email address or other login identifiers, information required for authentication, IP address, device and browser information, and authentication results<\/li>\n\n\n\n<li>Purposes: identity verification, login processing, account administration, security, and prevention of misuse<\/li>\n<\/ul>\n\n\n\n<p>Firebase Privacy and Security Information:<br><a href=\"https:\/\/firebase.google.com\/support\/privacy\" target=\"_blank\" rel=\"noreferrer noopener\">https:\/\/firebase.google.com\/support\/privacy<\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">11.6 Cookie Choices<\/h3>\n\n\n\n<p>In countries or regions where consent is required by law, we do not use analytics or other non-essential Cookies until the user has given the required consent. Users may accept or reject non-essential Cookies, or make choices by category, using the Cookie banner or Cookie settings interface displayed on the relevant website or service.<\/p>\n\n\n\n<p>Users may change their choices or withdraw consent at any time through the Cookie settings link displayed on the website or through another method made available by us. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.<\/p>\n\n\n\n<p>Users may also restrict or delete Cookies through their browser settings. However, disabling essential Cookies may prevent part of the service from operating properly.<\/p>\n\n\n\n<p>Further information regarding the names, providers, purposes, categories, and retention periods of the Cookies we use is displayed through the Cookie banner or Cookie settings interface.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">12. Security Measures<\/h2>\n\n\n\n<p>We implement measures to prevent unauthorised access, misuse, alteration, loss, destruction, damage, or disclosure of personal data and customer confidential information, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Maintaining policies and rules concerning data protection and information security<\/li>\n\n\n\n<li>Maintaining registers of personal data, information assets, cloud services, and service providers<\/li>\n\n\n\n<li>Conducting risk assessments relating to personal data processing<\/li>\n\n\n\n<li>Granting, changing, removing, and periodically reviewing access rights on a least-privilege basis<\/li>\n\n\n\n<li>Managing multi-factor authentication, authentication information, passwords, API keys, and confidential information<\/li>\n\n\n\n<li>Encryption in transit and at rest, log management, audits, and vulnerability management<\/li>\n\n\n\n<li>Training officers and personnel and imposing confidentiality obligations<\/li>\n\n\n\n<li>Appropriate selection, contracting, and supervision of service providers<\/li>\n\n\n\n<li>Responding to, correcting, and preventing the recurrence of personal data incidents<\/li>\n\n\n\n<li>Managing remote work, personally owned devices, and mobile devices<\/li>\n\n\n\n<li>Restricting information submitted to AI and API services and managing their use<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">13. Retention and Deletion<\/h2>\n\n\n\n<p>We retain personal data only for the period necessary to achieve the relevant purposes, comply with legal or contractual requirements, or meet other legitimate business needs.<\/p>\n\n\n\n<p>When information is no longer required, we appropriately delete, destroy, anonymise, or cease using it.<\/p>\n\n\n\n<p>Account information and usage records are retained for the period necessary to provide the service, maintain security, respond to enquiries, comply with contractual obligations, and address disputes.<\/p>\n\n\n\n<p>Enquiry information and customer contact details are retained for the period necessary to respond, manage transactions, comply with contractual and statutory retention obligations, and address disputes.<\/p>\n\n\n\n<p>The retention periods of Cookies vary depending on their purpose, category, and provider. Details are displayed through the Cookie banner or Cookie settings interface.<\/p>\n\n\n\n<p>Audio, video, and transcription data is deleted within the minimum necessary period after the relevant meeting or interview purpose has been fulfilled, unless further retention is necessary for contractual performance, production of deliverables, dispute handling, or another legitimate reason.<\/p>\n\n\n\n<p>Japanese Individual Numbers processed by IMPACTLAKE Co. Ltd. are retained only for the period necessary to carry out legally permitted tax and social insurance procedures and for the applicable statutory retention period. When retention is no longer required, they are deleted in a manner that prevents recovery.<\/p>\n\n\n\n<p>We may retain information to the extent and for the period necessary for backups, statutory retention, audits, incident investigations, or dispute handling.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">14.
